The Google Business Profile Team Playbook

Keep multiple locations or team members updating profiles without creating inconsistencies

Different team members write posts in different tones, upload inconsistent photo types, or respond to reviews with varying quality. Customers see mixed messages across your locations and Google may flag duplicate or low-quality content.

That is the gap this drop closes. It is a marketing skill built for Gemini, and it takes about ten minutes to set up the first time. After that it runs in under a minute.

Who should use it

Marketing managers with multi-location businesses or team members handling Google Business Profile updates

How it works

The skill file does five things, in this order.

1. Build your content templates with Gemini. Create reusable formats for posts, review responses, and business descriptions that maintain brand voice while allowing location-specific details.

2. Generate your team response matrix. Ask Gemini to create a decision tree showing how to respond to common review types, edge cases, and complaint categories.

3. Create your photo guidelines document. Have Gemini draft specifications for image dimensions, subjects, lighting, branding elements, and forbidden content for consistency.

4. Build your audit checklist. Generate a monthly review checklist that any team member can follow to spot profile errors, outdated information, or quality issues.

5. Draft your onboarding brief. Ask Gemini to create a concise training document that brings new team members up to speed on your GBP standards and workflow.

What comes back

A documented system that produces uniform profile quality regardless of who on your team does the update

The mistake to avoid

Version your playbook with dates and share it as a Google Doc with comment-only access for the team. When you refine a template or guideline, update the master document so everyone works from the same source without multiple outdated copies floating around.

Running it

Save the prompt as a Gem so it is reusable, or paste it into Gemini with your files attached. If the task touches Sheets, Docs or Gmail, run it from the Workspace side panel so it can read the file you already have open.

Where this fits

On its own, one skill saves an hour a week. The compounding happens when three or four of them run in sequence on the same input, the same transcript that produces a scope of work also produces the follow-up email and the project brief. That is the point at which it stops being a prompt and starts being an internal tool. If you want that wired into the systems your team already uses, that is the work 67 Digital does.

In the file

You are helping me create a team playbook for managing Google Business Profile updates across {number_of_locations} locations and {number_of_team_members} team members.

Our business type: {business_type}
Our brand voice: {brand_voice_description}
Common review themes we receive: {review_themes}
Types of posts we publish: {post_types}

Create the following:

1. Three post templates with clear [BRACKETS] showing where to insert location-specific information, maintaining our brand voice

2. A response matrix for reviews covering: 5-star positive, 3-star neutral, 1-star complaint about {common_complaint_1}, 1-star complaint about {common_complaint_2}, and spam/fake reviews

3. Photo guidelines covering minimum dimensions, required subjects for each location, lighting standards, logo placement rules, and three categories of forbidden content

4. A monthly audit checklist with 12 specific items to verify across all profiles

5. A one-page onboarding brief for new team members explaining the purpose of GBP, our quality standards, the approval workflow, and where to find resources

Format each section with clear headings. Keep language simple enough for non-marketing team members to follow.
